AI Workflow Automation Services

Smart AI Workspace provides AI workflow automation services for B2B teams: I map a repetitive process, rebuild it as an automated workflow that connects your tools and uses Claude where a step needs judgment, and hand it over running on your own accounts. It is for businesses losing hours each week to manual, multi-tool work.

Who AI workflow automation is for

Workflow automation pays off where the work is repetitive, rule-shaped and spread across tools: copying a form into a CRM, chasing documents, building the same report every Monday, routing requests to the right person. If someone on your team is the human glue between five systems, that job is the first thing I look at.

Not every process should be automated. If a workflow runs twice a month, changes every time, or depends on a decision nobody can write down, automating it costs more than it saves. The audit is where I say that out loud, before you pay for a build.

I work with businesses across the US and Canada, remotely. The industry playbooks show what to automate first in real estate, logistics and marketing agencies.

If you want to understand the role before you hire anyone, I wrote a guide on what an AI workflow automation consultant does, what the work costs, and when hiring one makes sense.

A good fit if you have

  • Lead intake, routing and follow-up that depends on someone remembering
  • Invoice, order and document handling that means retyping the same fields
  • Weekly reporting stitched together from exports and spreadsheets
  • Handoffs between teams that stall in someone's inbox

What I build

Intake and routing

Forms, inboxes and webhooks feeding the right system and the right person, with validation up front and an alert when something fails instead of a silent drop.

Document processing

Invoices, orders and forms read by Claude, fields extracted and checked, then written into your accounting tool, CRM or database.

CRM and sales operations

Lead enrichment, deduplication, follow-up triggers and pipeline updates, so the CRM stays accurate without a person babysitting it.

Reporting pipelines

Data pulled from your tools on a schedule, cleaned, and delivered as the report your team already reads, without the Monday-morning export.

Agentic steps inside a workflow

Where a step needs judgment, like classifying a request or drafting a reply, a Claude-based agent handles it and the rest stays fixed and cheap. For connector-heavy flows your own team wants to edit, I can build in n8n instead.

Exception handling and alerts

Every workflow I ship reports its own failures. When an API changes or a record does not fit the rules, the exception lands with a named person instead of disappearing, so the process never fails quietly.

How an engagement runs

  1. 01

    Free audit

I map the workflow from trigger to result, including the exceptions nobody wrote down, and put a number on what the manual version costs you.

  2. 02

    Scoped proposal

A written scope, timeline and price, agreed before any build starts, with success defined in terms you can test.

  3. 03

    Build and test

I build the workflow, test it against real examples and failure cases, and make every failure loud: logged, alerted, and never reported as success.

  4. 04

    Launch and handover

It runs on your accounts, documented, with the result measured against a baseline at 30, 60 and 90 days. Maintenance and new workflows are optional.

Proof: the workflow I rebuilt on my own business

Smart AI Workspace is client zero. My own contact form used to show a thank-you while the lead reached nobody: the route skipped the forward when a setting was missing and reported success anyway. At least one real inbound lead was lost that way, and nothing errored or alerted.

On 31 August 2026 I rebuilt it as two sends with two contracts. The internal notification is the critical path: if it fails, the route returns an error and the visitor is asked to try again. The confirmation to the visitor is best-effort, because by then the lead is already captured. Enquiries that used to get a reply the same day now get one within the hour.

You can check it yourself: submit the contact form and the confirmation arrives from a monitored address with your message quoted back to you.

How pricing works

I price on value, not hours. In the free audit we quantify what the manual workflow costs you in hours, errors and missed revenue, and the fee is a fraction of the first-year value the automation creates. If it cannot pay for itself, you hear that before you spend anything.

Scope moves with the number of workflows, the number of systems that need connecting, and how messy the data is. Each proposal gives you options that change the scope, from one priority workflow up to connected workflows across teams. Tool and API costs run on your own accounts with no markup, and payment is tied to milestones you can test. The full method is on the pricing page.

AI Workflow Automation FAQ

Frequently Asked Questions

What are AI workflow automation services?
They cover the whole job of turning a manual, multi-step process into one that runs on its own: mapping how the work flows today, designing the automated version, connecting your tools, adding AI where a step needs judgment, testing, and handing it over. You get a working system, not a strategy deck.
What is the difference between workflow automation and AI workflow automation?
Classic workflow automation moves data between tools along fixed rules. AI workflow automation adds steps that read and decide: classifying a request, pulling fields from an unstructured document, drafting a reply. I keep the fixed steps fixed, because they are cheaper and more predictable, and use Claude only where judgment is needed.
Which tools do you build workflows with?
New builds run on Claude-based agents and agentic workflows, connected to your existing tools through their APIs. For connector-heavy flows your own team wants to edit later, I use n8n. Everything runs on your accounts, so there is no lock-in to me or to a platform.
Which processes should we automate first?
The ones that are frequent, rule-shaped and painful: lead intake and follow-up, document and invoice handling, recurring reports, and handoffs between teams. The free audit ranks your candidates by what each one costs you today, so the first build is the one with the clearest payback.
How long until a workflow is live?
Most focused workflows go live within two to four weeks of the proposal being signed. Builds that span many systems, or include autonomous agent steps, take longer. The audit gives you a realistic timeline before you commit to anything.
What does AI workflow automation cost?
The fee follows the value the workflow creates, not the hours it takes to build. We quantify what the manual process costs in the free audit, and the price is a fraction of that first-year value, in writing, before anything is built. The pricing page walks through the method.
